Without a doubt, some of you already are familiar with our FolderLink feature. It basically allows the sharing of complete Nomadesk folders, incl. subfolders, with non-Nomadesk users – yes, those still exist…

So actually, FolderLink works like a very simple, yet robust, FTP service.

Imagine a non-Nomadesk user that needs to send you a large file; impossible via email. Here is the trick: you simply create an “Uploads” folder in your Nomadesk Team Fileserver and send your contact a FolderLink with “Allow Changes” switched on – presto!

We made a neat little 2 min. video that demonstrates exactly that.

We are happy to announce a new product enhancement to Nomadesk for Windows that integrates FileLink with Outlook 2007 and 2010.

From now on Nomadesk users are able to email large files such as photos, graphics, videos and presentations through a password-protected link of a file that resides in a Nomadesk fileserver. When emailing an attachment, and using Microsoft Outlook, you will be given the option to send a FileLink vs. the actual file. By selecting the FileLink option, you benefit in the following ways:

Secure, password-protected file transfer in seconds

Send large file attachments (100MB and more)

Email system is offloaded

Attached files are automatically archived and made available on a Nomadesk Fileserver

Attached files are backed up and synchronized to the Cloud

File expiration and controlled distribution of your files

Ability to still update the attachments after they were sent

The new FileLink is standard to Nomadesk for Windows and you are free to try Nomadesk for 30 days. Existing users can simply upgrade to the latest version on our download page.

Here is a short video on how the add-in actually works.

Paper faxes are quickly becoming a thing of the past. There are services that allow faxes to be sent and received via computer and email. If you are using a service like MyFax or eFax, it is very easy to set it up to send faxes directly to your Team Fileserver using Email2Folder to backup and share with your team.

Double-click the drive icon of the Team Fileserver you would like to use and create a folder on the top level of your Fileserver. You can use capital letters but the folder cannot have spaces. We will call ours “Faxes”.

You can also log in to your account at mynomadesk.com to add the folder to your Team Fileserver by clicking on the Add Folder icon.

Go to your online fax service of choice and set the email address the faxes are sent to “Faxes@MyTeamFileserver1.nomadesk.com“.

Note: replace “MyTeamFileserver1″ with the name of your Team Fileserver on which you created the folder.

Now you are ready to receive faxes directly to your Team Fileserver to be synchronized and available to members of your team.

Nomadesk already provides easy file sharing for all files on a Nomadesk fileserver with FileLink and unlimited guest access. FolderLink takes ad-hoc file sharing to the next level. Any folder on a Nomadesk Team Fileserver can now be shared via myNomadesk.com.

How does it work?

Follow the steps below and you will be sharing folders with friends and co-workers within seconds.

Note: make sure you have a working Nomadesk Team Fileserver (either in trial or through a subscription plan). Click here for download and installation instructions.

Log in with your Nomadesk account on myNomadesk.com.

Select your Fileserver and browse to the location containing the folder you wish to share.

On the folder you wish to share, click the down arrow or right-click and choose FolderLink.

Select the notify option if you wish to be notified by email when someone has accessed the folder.

5. If necessary, change the expiration time of the link. Tip: this option can be handy if you want to increase or lower the security level of the folder link or if you want your team members to download and review the contents of the folder before a given deadline.

6. Enter your addressees email addresses, type a subject and a message, and click Send.

All files that reside on a Nomadesk Fileserver can be easily shared with the Nomadesk FileLink™ feature. The Nomadesk FileLink feature is a quick and easy way to create a public download link to any file on your Nomadesk Fileserver. With this feature, Nomadesk lets you send a pre-formatted email with the file download location directly from Nomadesk.

In some cases however, you might prefer sending the public download link from your own email client program so you can freely choose the style, content and originator of the email.

How?

1. Start by creating a FileLink as you normally would:

Select the file you wish to share and right-click the file (Windows) or use Ctrl+F (Mac).

Choose Nomadesk Tools > Send FileLink.

Enter your own email address in the To field, type a subject and a message, and click Send.

2. Copy the URL from the FileLink email you just received and paste it in a new email which you can fully customize and send to your recipient(s).

When your recipients click this link, they will be redirected to a secured Nomadesk website from which they can download the file.

Note: Since the FileLink was created with your own email address, you will get a confirmation that you accessed this FileLink each time someone clicks the FileLink (if you selected the confirmation option ). If you need to know who accessed the FileLink, send the FileLink directly from Nomadesk. The choice is yours….

Are your emails secured?

Changed to another email provider and thought you copied all your files over? Just reinstalled your computer thinking your personal folders were on that other drive? Computer crashed? Inadvertently deleted your email?

Sounds familiar?

With a simple tool and Nomadesk, you’ll never have to worry about losing your Outlook emails again.

Find out how to backup your Outlook folders to a Nomadesk Fileserver

When working with Microsoft Office Outlook, all your emails are typically stored in the personal folders store (PST file). Since this file is constantly in use it becomes difficult to backup.

However, with a simple Microsoft Office Outlook tool backing up your personal folders is child play.

Thanks to the Microsoft Personal Folders backup tool backup copies can be created of your .PST files at regular intervals, in Outlook 2002 and later versions, making it easy to keep all of your Outlook folders safely backed up. The Personal Folders Backup tool allows you to choose which of your .PST files you wish to back up, and how often you wish to back them up.

Note: the Personal Folders Backup tool only backs up .PST files. If you are working on a Microsoft Exchange Server, your server mailbox folders are probably backed up regularly by your server administrator.

Installation

Download and install the Microsoft Outlook Personal Folders Backup tool. (Quit Outlook before installing)

Follow the instructions on the screen to complete the installation.

How to use

Start Outlook and go to the File menu, click Backup.

Click Options.

Select the check box for each item you want to back up.

Click Browse and select your Nomadesk Fileserver to backup your PST file to and then click Open.

Backup will start on exiting Outlook.

Mind your bandwidth

Have Microsoft Outlook automatically remind you to make a backup copy of this file (select the Remind me to backup every 7 days).

Note that when backing up large PST files, your bandwidth usage might increase considerably.

If you have any tips to share with us, leave them in the comments.
